ChatGPT for Excel and PowerPoint: Automate a Recurring Report

Same scene, every first of the month. Your office manager opens four exports, copy-pastes numbers across three Excel tabs, recalculates two totals by hand, then switches to PowerPoint to rebuild last month's deck with the new figures. Three or four hours later, the report goes out by email. Next month, repeat. And when she's on holiday, you're the one stuck doing it, swearing you'll "automate this someday."

That someday is this week. Since May 2026, ChatGPT can create, fill and format .xlsx and .pptx files directly. You can work in a side panel inside Excel and PowerPoint, or have it generate the file from scratch out of your data. No VBA macro, no developer. You describe what you want in plain language, it hands you the file.

This tutorial shows you how to set up a recurring report that almost fills itself. Five steps, each with its concrete tool, a setup in a few minutes, and the result you can expect. All of it is testable today with a ChatGPT account at around 20 dollars a month.

1. Frame the report before touching the AI

The classic mistake is opening ChatGPT and asking it to "make me a nice report." You'll get something generic, pretty, and unusable, because your report follows specific rules the AI cannot guess. Before automating anything, you have to lock down the structure.

Concrete tool: a plain text document (Notion, Word, or even an email to yourself). No cost.

5-minute setup:

  1. Pull up the last report your team produced by hand. The real one, the one that went to the client or the committee.
  2. List the blocks it contains: revenue by segment, margin, top 5 clients, year-over-year comparison, commentary. Note the exact order and the format of each figure (euros, percentage, one decimal or none).
  3. Identify where each piece of data comes from: which export, which tab, which column. This is the boring part, but it's what makes the automation hold up over time.

Expected outcome: a half-page that describes your report like a recipe. This page becomes the brief you'll paste into ChatGPT at every following step. The time you spend here, you get back tenfold later.
